Do you need a TMS with just one truck?
How to tell if it's worth it.
Short answer: if paperwork is eating your home time, yes.
Here's how to tell for sure.
Ask yourself these questions
- Do you spend your weekends home doing invoices?
- Have you ever lost a BOL or a rate con?
- Have you ever waited longer to get paid because a paper was missing?
- Have you ever forgotten to bill for detention or a lumper?
- At the end of the month, are you guessing what you really made?
- When tax time comes, are you digging through papers from the whole year?
If you said yes to two or more, a TMS can help.
What paperwork really costs you
Paperwork doesn't show up as a bill. But you still pay for it.
- Time. Every hour on paperwork is an hour you're not resting or with your family.
- Money. A missed detention charge or a lost BOL is money you earned and never got.
- Stress. Not knowing where things stand follows you on every trip.
What to look for in a TMS
Not every TMS is made for one truck. Look for one that:
- Works on your phone. You're not at a desk. Your app shouldn't need one.
- Is easy to learn. If you need a class to use it, it wasn't built for you.
- Reads your rate con for you. Snap a photo and the load fills in. No typing.
- Lets you bill from the load. Add detention, lumper, or layover and send the invoice in a tap.
- Keeps everything in one place. Loads, paperwork, and invoices, all together.
- Shows you your numbers. Simple reports that show what you made per load, per month, and per year. No spreadsheet needed.
- Is priced for one truck. You shouldn't pay for features made for a 50-truck fleet.
Just starting out? Start with good habits
If you're only hauling a few loads, you might be able to keep up by hand for now. But the best time to build good habits is before the paperwork piles up.
Starting right looks like this:
- Save every load in one place. The load, the rate con, and the BOL, together from day one.
- Send the invoice the day you deliver. The faster it goes out, the faster you get paid.
- Write down extra charges when they happen. Detention, lumper, layover. If you wait, you forget, and that's money left on the table.
- Know your numbers from month one. Check what you made every month, not just at tax time.
A TMS makes these habits automatic. Start clean now, and you'll never have to dig yourself out later.
